Information for Guests

Dear guest. On this page, you will find practical information regarding your stay at the Department of Computer Science (DIKU). We recommend that you read the information on this page carefully to ensure a stress-free visit and that all pre-approved expenses are within the rules and can be reimbursed.

When your host has contacted Section Support regarding your visit, they will reach out to you to help plan your visit and clarify any questions.

If you have not heard from Section Support or if you have any questions, you are always more than welcome to write us an e-mail using the contacts to the right.

 

 

Travel

If you have an agreement with your host, you can book flight tickets yourself and be reimbursed after your visit. In this case, please save the boarding passes as documentation for reimbursement along with the receipts. If the boarding passes are on the phone, remember to take a screenshot.
Only economy class tickets (or economy premium for flights of 6+ hours and between continents) can be reimbursed. 
Flight tickets can also be booked by Section Support.
Train tickets should always be booked by yourself and reimbursed.

UCPH is not authorized to cover any kind of insurance or climate compensation.

Accommodation

DIKU's Section Support can book a hotel for you and send the booking number to you. You are also free to book a hotel yourself.  If you are staying for a longer period, you may want to consider Airbnb or other private accommodation for your stay. This can be reimbursed after the visit, but Section Support cannot book this for you.

The maximum reimbursement allowed in both cases is DKK 1.844 per night and DKK 1.383 per night after the 29th day. Please save any receipts for reimbursement.

UCPH is not authorized to cover any kind of insurance.

 

 

General

Be aware, that UCPH cannot reimburse tips, as services are included in all Danish prices.

Public transportation should always be used unless you and/or your guest are under such time pressure that taking a taxi is necessary. In any case, make sure to get a receipt for reimbursement purposes, which shows both the date and the addresses to/from.

Public transportation (bus, train, S-train, and metro) in Copenhagen is well-developed and covers the greater city area very efficiently.

You can use the Journey Planner (Rejseplanen) to plan the best way to get from A to B with public transportation.

You can use Google Maps to find the location.

If you are here for a longer period, you might consider getting a “Rejsekort”. Check with your host first. For reimbursement purposes, you will have to send an overview of all your travel using the card, when your trip has ended. This can be found online when you get home.
Please notice, that UCPH cannot cover expenses for the Rejsekort based on receipts for filling up the card as documentation. The addresses and expenses for each trip are required.

You can also buy a ticket for each trip. This can be done at the stations or in one of the apps: DSB or DOT. Again, please remember to save all receipts.

UCPH can only cover travel linked directly to the visit. This means travel to and from work-related engagements and the first and final trip to and from the hotel, but not travel privately in the city.

Transport from the airport and to DIKU buildings

When you arrive at Copenhagen Airport, you can easily travel to Copenhagen Central Station (Hovedbanegården) by train or to Nørreport Station or other stations by metro. Hotels are usually within walking distance from public transportation. 

To get to the Department of Computer Science (DIKU) from Copenhagen Central Station, take the metro to Vibenshus Runddel. There is only a short walk from the metro to the Department (DIKU's address is Universitetsparken 1, 2100 København Ø).

If you prefer to take the bus, you can take the buses 150S, 185, 184, and 15E from Nørreport Station to the stop Universitetsparken. There is only a short walk from the bus to the department.

To get to the Pioneer Centre for AI you can take a train, metro or bus to Nørreport station. There is only a short walk from Nørreport to the centre (the Pioneer Centre's address is Øster Voldgade 3, 1350 København K).

 

 

 

 

 

 

 

 

 

 

Be aware, that UCPH cannot reimburse tips, as services are included in all Danish prices.

If your host has offered to reimburse some or all your expenses, you must document your expenses, either by scanned copies or pictures of your receipts. Take a picture first thing, so the receipt does not get lost or unreadable. Make sure the picture is readable before you throw out the receipt. 
A receipt must show the following:

  • Date of purchase.
  • Price including credit card fees and VAT.
  • The item bought.
  • Addresses (For transportation)

Some types of expenses have a maximum reimbursement limit:

  • Flight:
    Only economy class tickets (or economy premium for flights of 6+ hours and between continents) can be reimbursed. 
    Remember to save boarding passes.
  • Accommodation:
    The maximum reimbursement allowed is DKK 1.844 per night and DKK 1.383 per night after the 29th

Before your visit, Section Support will reach out to you with instructions on how to claim reimbursement. If they do not, please contact SectionSupport@di.ku.dk. Claims of reimbursement expire three months after the last day of your visit to the Department of Computer Science.

 

 

 

 

 

 

 

 

 

 

 

 

Access Cards

If you are staying for an extended period, you might need an access card to the buildings. If you believe this is the case, please ask your host. Facility Management at DIKU orders access cards.

Guest Parking

If you are arriving by car and need to park on Campus, please contact DIKU's Facility Management directly at FM@di.ku.dk and CC your host for a single-day guest parking license.

Wi-fi

The University of Copenhagen uses eduroam. However, there is also a wireless guest network called "KU Guest" for guests who do not have access to eduroam.

When you log on to KUguest, you must first be registered using your email address as your username, and then you will receive an access code via SMS.

  1. Find the accessible wireless networks on your device
  2. Choose "KU Guest"
  3. Add you information and follow the instructions on the screen.

Access to UCPH Systems

If you are staying for an extended period and you make an agreement with your host, you can request access to UCPH’s systems. If you want to request access, please contact DIKU HR at HR@di.ku.dk and CC your host.

 

 

 

 

 

 

 

 

 

 

 

 

To apply for a visa to Denmark following the current rules, you must contact your local embassy or consulate.

If you are visiting the Department of Computer Science as part of the assessment committee for a PhD defense, the Department will cover your transportation, accommodation, and meals during your stay.
DIKU’s PhD administration will reach out to you with more information.

Please be aware that as a guest at UCPH, you cannot receive per diem from UCPH under any circumstances.
